We may collect personal information including, as applicable, name, email address, postal address, phone number, membership status, payment and invoicing details, communication preferences, and information required to administer any optional add-on products or services. We collect personal information only where it is lawful and necessary for membership, administration, communications, and delivery of our products and services.

We generally collect personal information directly from the individual concerned (for example when you apply for membership, renew membership, sign up for communications, register for events, or contact us). Where we collect personal information, we will take reasonable steps to ensure you are aware of key matters about the collection (including that it is being collected and the purposes of collection) at or before the time of collection, or as soon as practicable afterwards, unless an exception applies.
Purposes of collection and use
We collect and uses personal information for purposes connected with membership and service delivery, including: administering membership, communicating with members, delivering member services and benefits, maintaining member records, providing access to and administering optional add-on services, and maintaining the security and integrity of our systems and website.
Storage, security, retention and accuracy
We take reasonable steps to protect personal information by safeguarding it against loss, unauthorised access, use, modification, disclosure, or other misuse, including through administrative, technical, and physical security measures appropriate to the nature of the information.
We take reasonable steps to ensure personal information is accurate before it is used where accuracy is relevant to the purpose of use, and will retain personal information only for as long as it is required for lawful purposes connected with our functions and activities, and then securely delete or anonymise it where appropriate.
Do we use cookies?
Yes. Cookies are small files that a site or its service provider transfers to your computer’s hard drive through your Web browser (if you allow) that enable the sites or service providers systems to recognise your browser and capture and remember certain information such as browsing history.

Do we disclose any information to outside parties?
We do not sell, trade, or otherwise, transfer to outside parties your personally identifiable information. This does not include trusted third parties who assist us in operating our website, conducting our business, or servicing you, as long as those parties agree to keep this information confidential. We may also release your information when we believe release is appropriate to comply with the law, enforce our site policies, or protect our or others’ rights, property, or safety.
Currently, the third parties with access to your personal information are:
- The New Zealand Property Investors’ Federation is disclosed members’ name, email address and postal address solely for the purpose of generating and delivering membership cards. The disclosure is limited to what is necessary for card generation and delivery and is treated as a disclosure for the purpose connected with membership services.
- Grow My Business is disclosed personal information only when absolutely necessary to provide support for our CRM software and to protect and maintain our website integrity.
- Mailchimp is disclosed members’ and subscribers’ email addresses for the purpose of delivering eDMs and other email communications.
- Cotality is disclosed selected members’ names and email addresses for the purpose of enabling and administrating added-on Property Guru accounts.
Overseas disclosures and cloud/third-party service providers
Where we rely on a permitted disclosure basis and the disclosure is to a foreign person or entity, we will take steps to ensure that the overseas recipient is subject to protections that are comparable overall to those in the Act (for example by relying on a belief on reasonable grounds about comparable safeguards, or by contractual commitments), or by obtaining the individual’s authorisation after being expressly informed that the overseas recipient may not be required to protect the information in a way that provides comparable safeguards
Third-Party Links
Occasionally, at our discretion, we may include or offer third party information or services on our website. These third-party sites have separate and independent privacy policies. We, therefore, have no responsibility or liability for the content and activities of these linked sites. Nonetheless, we seek to protect the integrity of our site and welcome any feedback about these sites.
Online Privacy Policy Only
This online privacy policy applies only to information collected through our website and not to information collected offline.
Access and correction
You have the right to request access to any personal information we hold of you and request correction of that information. We will respond to the access and correct requests in accordance with the Act and will take reasonable steps to assist you to make requests that enable meaningful access to your personal information.
Your Consent
By using our site, joining the Auckland Property Investors’ Association or participating in one of our events you consent to our website’s membership & privacy policy.
Changes to our Privacy Policy
We may update this privacy policy from time to time to reflect changes in our practices or legal requirements.

If you believe we have not complied with this policy or the Act, you may complain to us in the first instance by emailing privacy@apia.org.nz. You may also direct your complaint to the Office of the Privacy Commissioner.
